Annunciation School Board Meeting Minutes

Tuesday September 9, 2002

Vice Principal Mary Kay Schaub did not attended meeting. Mary Beth Morgan came late.

Meeting called to order at 6:35 pm

Mary Beth Mann opened the meeting with a prayer.

Motion was made to accept July’s minutes. Accepted by Bernadette Bookmiller and Paula Penepent.

There is a member of the school interested in being a board member. This will be voted on today.

Discussion will take place tonight regarding our existing constitution vs. Roberts Rules of Order.

Elaine made a motion to make the Diocesan constitution our Annunciation constitution until ours is modified by the board and reviewed by the Dioceses. Discussion was tabled so that we could vote on our new member, Mark Phillips. Vote taken – 7 yes, 0 no.

Robin brought up a thought that the tuition and budget committees should be combined to be the finance committee. Elaine commented that Father Emil and Mary Jane should be responsible for matters of tuition assistance not the board.

The computer committed will now be included in with education committee.

Buildings and Grounds committee will now be a committee in keeping with the Diocesan constitution.

Policy and Planning will now fall under the development committee

Education will remain the same.

Ad Hoc committees still remaining are the mission statement and the 100^th anniversary.

Ad Hoc committees and members are as follows:

100^Th Anniversary – Paula P., Mary Beth Mann, Mary Beth Morgan, Mary Kay S., Mary Jane L., and Mark P.

• For the 2001-2002 school year there was a deficit of $211,634.00. The subsidy from the parish is at 41%. The school is on budget for the new year within a couple $100.00 or so.
• For the 2002-2003 school year the cost to educate a child in PK4 – 8^th grade is $2,509.70. The cost for K-8^th is approximately $3,000.00.

Development:

• The referral program is now a line item in the up coming budget.
• Raising the tuition has the potential to have an exodus of students.
• Talking points are needed from Mary Jane.

• Extended day program after school is on hold until Mary Jane hears back from the insurance company.
• New computerized report cards will be used this year. For grades 3 – 8^th the passing grade will be 70. Reading will receive a number grade.
• There was a suggestion for a school newspaper. This is being looked into with the remedial reading teacher.
• Enrichment math and reading will now be scheduled during regular scheduled class time.
• Mary Jane is working on getting hands on science supplies for the lower grade levels.
• Mary Jane has ordered health books and kits for grades K-3.
• Science books and kits have been ordered for 2^nd grade this year.

Tuition: Nothing to Report

Computer: Nothing to Report.

Mission: Discussed earlier

• There are 3 stained ceiling tiles in Kindergarten. The St. Joe’s workers will investigate the roof leak. Additional tiles need to be changed in the hall as well. Parish Center will need to be re-roofed.

Principal Report:

• Student enrollment changes are as follows:
• Pre-K 3 – AM 10
• Pre-K3 - PM 12
• 3^rd grade 16
• 7^th grade 22

• An art teacher is needed. Robin Bartnik will be the substitute teacher for now.
• A remedial teacher is needed.
• School is going to work with the development committee to put together a video and or C/D of the school to show at mass etc.
• The honorary guardian angel program will be put into effect in October. 4^th – 8^th for grades Pre-K3 – 3^rd.
• The Pre-K students will take field trips to Kindergarten this year.
• Mary Jane brought in a sample letter that will go to parents from the parish with newborns. The objective is to get parents interested in our catholic school from birth.

Constitution:

• There was a motion made to submit the existing Annunciation constitution to the Dioceses as is for approval or rejection. Accepted by Mark Phillips and Jim Serafin. It was voted on: 8 yes and 1 no. The constitution will be submitted as is.

Our goal is to identify what Father Emil and Mary Jane expect from the board and how we can better help our school.

All committees are to put together an agenda that would identify what the monthly, yearly and long term plans will be.

The executive committee needs to meet with Father Emil.

There may be a change in future meeting dates.

The next meeting is October 7^th at 6:30pm in Selbert Hall.
